Filter Multiple Fields

Table sorts



In a table's Datasheet view, you can filter multiple selections in a few simple ways.

In the first method, you select one of the fields you want to filter by and click the Filter By Selection button on the toolbar. Access filters the records by that selection. Next, select the second field you want to filter by and click the button again. Access filters the records even further by this second selection. Continue to follow these steps until you have filtered by the desired number of selections.

You can also use Filter by Form. Click the icon on the toolbar. In the displayed form, enter the criteria. You can use And/Or statements, such as "Boston" Or "San Francisco".
(Access will enter the quote marks for you.)

For the third option, you use the Advanced Filter>Sort feature. To do so, select Records>Filter>Advanced Filter>Sort from the menu bar. Access displays a grid similar to the Query By Example grid. Now, drag down all the fields you want to filter by from the field list. Then, in the Criteria cells enter the values you want to filter for. When you have finished, click the Apply Filter button to see the results.

Fourth, you could use Filter by input. Right click any entry in a field you want filtered. Enter the value in the Filter For box and hit Enter. You could then choose another field and sort again by another criteria.
Creating a Query would let you save your filter, but these methods can be used to quickly display the desired information in a table.

Access 2007-10 has a wizard that will walk you through the process of sending an information gathering form through Outlook. The wizard is on the External Data tab in the Collect Data group.




"You begin with the Collect Data Through E-mail Messages Wizard, which guides you through the steps of creating a form.

"Accessibility, the design of HTML documents for accessibility by people with disabilities, is such an important aspect of the Internet today that the Worldwide Web Consortium (W3C) has adopted a set of guidelines for designing accessible Web sites. The Web Content Accessibility Guidelines (WCAG) closely follow Section 508 of the U.S. Rehabilitation Act.

For some Web sites, adherence to the WCAG is not optional; it is a necessity. Expression Web/FrontPage 2003 has tools for evaluating the accessibility of an entire Web site, identifying elements that violate the guidelines, and finding ways to correct the violations. The accessibility checker provides all of this functionality in a single dialog box.

To access the accessibility checker on the Tools menu click Accessibility (Accessibility Reports).

You can use the accessibility checker to check a single page or an entire Web site. The accessibility checker checks for varying levels of accessibility and specifically for adherence to Section 508 of the U.S. Rehabilitation Act. You can check for errors or warnings, and you can add a manual checklist."

Mail Your Calendar

Save a calendar as an iCalendar file


  1. In Calendar, select a calendar to make it the active calendar in the view.

  2. On the File menu, click Save As.

  3. Type a name for the iCalendar file in the File name text box.

  4. A summary of the calendar name, date range, and detail level appears next to More Options.

  5. From the Date Range list, choose the amount of calendar data to include in the iCalendar file, or click Specify dates to enter a custom date range.




  6. From the Detail list, choose the amount of detail to show the recipients.
    Optionally, click Show to see Advanced options.

  7. Click OK, and then click Save.

You can put a break on a web page like you can in a document.
A Cascading Style Sheet makes it simple

Orphans are parts of a paragraph that begin on the previous page. An orphan has a future, but no past.

The only paging properties supported by Internet Explorer 7, Safari 3 and Firefox 2 are page-break-before and page-break-after.
The page-break-before and page-break-after properties enable you to say that a page break should occur before or after the specified element. The following example starts a new page every time an h1 heading is encountered and after every .section block.

Convert Fonts

PowerPoint has a feature that allows you to replace any of the fonts being used in a presentation
You may want to do this to change the look of a show, or because the type face is not available on another machine and not embeddable.

Go to Format>Replace Fonts.

Choose one of the fonts you are currently using and its replacement.

Look over your presentation before saving it. Sometimes a different font will change the spacing on a slide. You may have to reformat a few slides

Convert Access Macros to VBA

Before Access 2000, the speculation was that Access would lose "Macros" and enter the exclusive world of VBA. It hasn't happened yet.

If you have macros in a database that you would like to convert to code, doing so is easy.

In Access 97: Right-click on the macro in the Database window and then choose Save As/Export from the shortcut menu. Then, select the Save As Visual Basic Module option button and click OK. You are then given the option of adding error handling functions and comments to the new module. Select the options you want and click Convert.

In Access 2000/2002+: Right-click on the macro in the Database window and then choose Save As from the shortcut menu. Enter the name of the module you want to create in the text box and choose Module from the As dropdown list. Next, click OK. You will be given the option of adding error handling functions and comments to the new module. Select the options you want and click Convert.

In 2007 go to Database Tools and look in the Macros group.

I haven't seen, lately, how many fonts you can have on a machine, but I know it's a lot more than earlier versions.

Here is a free download that will create an HTML file that will show all the fonts installed on your computer.

In your browser, you can change the style of a font and zoom in on a font. You can also view the character map of a font. And, for some, maybe the most important feature, you can create a print out of all your fonts.

Match Format Paste

Copy/Paste formatting in Word, PowerPoint or Excel



When you copy information from a Web page or another document, the formatting will also be copied.

To match the formatting of the target document, copy the text and place the cursor where you want to insert the copy.

Then, go to Edit>Paste Special, and select the Unformatted Text option.
(Click the arrow under Paste in the Clipboard group on the Home tab in 2007+)

The clipboard text will be pasted to match the target.

Another way when using Word 2002 + is to click on the "Smart icon" that appears at
the lower right corner of the pasted text. You can then choose to keep the original formatting, match the destination formatting, keep text only, or apply a new style.

An additional way to transfer just the formatting between documents is to highlight the text with the formatting you wish to copy and then hold down the Ctrl key and the Shift key and press the C key (Ctrl+Shift+C). Release the keys. Select the text you want to have formatted. Hold down the Ctrl key and the Shift key and press the V key (Ctrl+Shift+V). Only the formatting is copied, not the text.
In Excel use Edit>Paste Special and select the "Formats" option.

Paste Special can also be used with graphics.

You can change Word's default behavior; choose whether to paste Inline or Floating.

Spreadsheet Diet

Formatting bloat



Avoid applying formatting to more than just the active area of your worksheet. Extraneous formatting will confuse Excel about the last cell in the spreadsheet.

Depending on your OS and specific configuration, you could see symptoms ranging from Excel not responding to various error messages concerning page faults, low virtual memory, and access violations. You may see a warning message; "Too many different formats."

To resolve this issue, make sure you select only the particular range of cells you want formatted when you apply specific formatting or select Format>AutoFormat.

You can use Ctrl+End to see where Excel thinks the last cell is.

Rename Files

Add Info


When you download pictures from your digital camera, they end up with incomprehensible name such as IMG_0284.JPG, or _MG_2640.CR2.

To make them more useful:


  1. Select all those files from Xmas. You can use Ctrl to group them, or use Ctrl+A to select all the files in that folder.

  2. Right click the selection and choose Rename.

  3. Pick a descriptive title, such as 2014 Xmas Party.

  4. Hit Enter

  5. All of the selected files will be renamed "2014 Xmas Party.JPG”, "2014 Xmas Party.CR2”, "2014 Xmas Party(2).JPG”, "2014 Xmas Party(2).CR2”, "2014 Xmas Party(3).JPG” "2014 Xmas Party(3).CR2”.

    The extensions will remain the same.

Copy Access Data to New Records

Fewer steps


The Paste Append feature is often overlooked in Access.

This feature lets you quickly create new records that copy existing information from other records.

To see one way to use the feature, open a table in Datasheet view.
  1. While holding down the [Shift] key, select adjacent fields with data you want to copy. You can also select fields from adjacent records.
  2. When you've finished, press Ctrl+C to copy the data.
  3. Then, choose Edit>Paste Append (Paste>Paste Append in 2007+)
  4. Click Yes when Access asks for confirmation.
You'll now have an appropriate number of new records in the table that contains the information you copied.

After modifying one of your own meeting requests, remember to click Send Update to send the updated request to all recipients.
Don't move meeting requests:

Don't move a meeting request from your Inbox to a different folder before you accept or decline the request or before the meeting appears in your calendar. Soon after a meeting request arrives in your Inbox, a piece of Outlook code -- nicknamed the "sniffer" -- automatically adds the meeting to your calendar and marks it as tentative. This is a fail-safe to keep you from missing the meeting in case you don't see the request in your Inbox. However, the sniffer doesn't reply to the meeting organizer. You still need to do that by accepting, accepting as tentative, or declining the request. If you or a rule that you create moves an incoming meeting request from your Inbox before the sniffer can process the request, the meeting never appears in your calendar, and you might miss the meeting.
Get a fresh start:

If a meeting series requires several changes -- a new organizer, a different frequency or time slot, the addition or removal of attendees -- just cancel the series and create a new one. Don't try to modify the original meeting request.

If you have to show your presentation on a machine that does not have PowerPoint installed, you can use " Package for CD. "

Before 2003 it was named "Pack and Go."

Go to File> Package for CD ...
The Dialog box will walk you through the process and offer to include the PowerPoint Viewer.

The problem with the earlier versions of PowerPoint, through 2002, was that the viewer only handled the features available in PowerPoint 97.


The PowerPoint 2007 Viewer lets you view full-featured presentations created in PowerPoint 97 and later versions.

Resize Form

It's fitting


When you switch between Design and Form views, the size of the form is dictated by the size of the Design view window, not the size of the form sections.

You often need to expand the window to be able to see the rulers and scroll bars in addition to all of the sections. This means you're left with wasted space when viewing the form in Form view, assuming that you forget to shrink the window back down.

A solution to this annoyance is to use the Size To Fit Form feature.

Simply view the form in Form view and choose Window>Size To Fit Form from the menu bar. If your view of the form is maximized, the menu option will be unavailable and you'll need to click the Restore Window button on the form window to enable the choice.

Once Access has resized the form, you can save its current dimensions by clicking the Save button.

With Access 2007+ go to the Office button, choose Access Options and click Overlapping Windows. The Size To Fit Form icon will appear on the Home tab.

Date Arithmetic

The drunken cousin


Working with dates has a few twists.

Excel believes that time began on January 1, 1900.

Each day since then is counted so that September 1, 2003 in Excel-speak would be → 37,865.
9/1/03 7:33 A.M. is a decimal → 37865.31458333333

When you subtract one date from another, for instance 9/1/2003 (A1)minus 7/4/2001 (A2),
Excel displays the odd answer of → 2/27/1902.

Excel formats the result of a formula with the same format as the source cells,
Right-click the formula cell (=A1-A2).
Select Format Cells ..., and then choose a Number format with zero decimals.

The correct number of days → 789 will now be displayed.

Another way is to use the rarely documented DATEDIF function. Chip Pearson calls it "the drunken cousin of the Function family."

=DATEDIF(EarliestDate,LatestDate,Interval)

Quickly Query Table Names

Change by code


If you've ever developed a dozen or more complex queries, then had to change one of the table names, you know how frustrating it can be to all but rebuild the queries in the Query Design view grid by changing the table name in each cell.

One quick alternative is to choose View >SQL View while the query is open and then cut and paste all the SQL code into Word.

Next, do a Find and Replace, changing all the instances of the old table name to the new table name.

Finally, copy and paste the SQL statements back into the SQL view of your Access queries.

When you go back to the QBE, the new table will replace the old one.

Reset Shortcut Menu

They didn't cause a problem, but were distracting.

Add Objects to the Query Grid

If you need to add a table or query to a query you're building in Design view, you most likely click the Show Table button, drag the appropriate objects from the resulting dialog box, and then close the dialog box.

However, there's a much easier way to do this.

Simply drag the table or query object's icon directly to the gray background of the query design grid. This same technique also works with the Access Relationships window.

Chad Rothschiller, a program manager on the Excel team, discusses using formulas to 'clean up' data in Excel.


Excel is a great tool to use when you need to take data in one format, manipulate it into another format, and push the results along to another process, e.g. a database. In this context, Excel is a great landing pad or middle man, serving as a data transformation tool to move data from one system to another.

This example considers a sample data set and walks through the steps to clean up the data and perform various transformations on the data set to massage it into a more desirable format.


I'm sure you've been faced with at least one of theses problems:

  • Import the data and don't accidentally drop the leading zeros!

Resetting the Body Clock

A wistful feeling comes over us in late autumn, as the last remaining leaves drop, morning frosts cover the ground, and the sun sets earlier each day. Hot cider and the warmth of a favorite old coat may be all you need to face the coming winter with good cheer, but for many people, fall melancholy deepens to winter depression.


Winter depression is still a mystery to scientists who study it. Many things, including brain chemicals, ions in the air, and genetics seem to be involved. But researchers agree that people who suffer from winter depression -- also known as "seasonal affective disorder," a term that produces the cute acronym SAD -- have one thing in common. They're particularly sensitive to light, or the lack of it.

"Research shows that bright light visual stimulation (light which enters the eyes), can change the timing of the body clock and its timing of sleep or awakening signals to the body. Thus, bright light therapy has been used to treat the range of disorders caused by a mis-timed body clock including shift work, jet lag, sleep onset and early morning insomnia mentioned above as well as winter depression (Seasonal Affective Disorder, SAD)."

"Probably the greatest use of bright light therapy is for the treatment of winter depression, especially in very northern countries which have little sunlight in the winter months. These sufferers appear to have delayed body clocks and benefit most from morning light therapy.

At present, the blue LED glasses are still experimental devices. They are not yet commercially available. The Flinders University owns the intellectual property rights and a provisional patent. A commercial partner to manufacture and market the devices under license is still being sought."

Drawing Canvas

More than I want


The Draw layer has been around since about Word 97, but it has not been as intrusive as it is in Word 2002+.

Try to place an AutoShape on a page and the Drawing Canvas pops up by default.

To turn off this feature, go to:
Tools>Options.
On the General tab, remove the check mark from
"Automatically create drawing canvas when inserting AutoShapes"

To just dismiss it each time, choose your AutoShape and then touch the Delete or Esc key before drawing the object.

"When you get an email that references an address, look to the right and you'll probably see a link from Gmail pointing you to a map of the address on Google Maps.

MHTML

One file web pages



When a web page is created using HTML, the coding is normally contained in one file and the graphics in separate folders.

The Mime HTML or MHT/MHTML format changed that.

Starting with Office 2000 as an add-in and carried through XP as a "Web Archive" option, the format emerged in Office 2003 as a "Single file web page" selection in the File Save As dialog box.

Here are the Save As choices available in an application such as Word:
  • Web Page, Complete means that the contents of the page (including any pictures) will be saved into a folder as separate files, similar to those on the server hosting the site.

  • Web Page, HTML only means that only the HTML information will be saved. This option and Web Page, Complete will enable you to open the file for viewing in Internet Explorer (or any other browser) at a later time, even when you are offline.

  • Web Archive means that the page will be saved, along with any images it contains, as a single file. You can view a Web Archive later without being connected to the Internet.

  • Text File means that only the text on the page will be saved, not the HTML (or any other) formatting, including graphics.

New Tables in Town

Bigger and better (?)


Pre '07 versions of PowerPoint limited tables to a maximum of 25 rows and columns. You were able to ungroup the table cells before, but that has been taken away.


"In this release, we have increased that maximum to 75x75 within the UI.

We were able to do this because we made the decision to move away from the metaphor of a table simply being a group of shapes, as it was in previous versions.
This has been one of the largest enabling factors in our performance gains, and as a result, tables are workable at sizes much greater than that of 25x25.

A tradeoff made in order to obtain these gains in performance was the ability to "ungroup" a table.

While this tradeoff means that there are a set of scenarios no longer present, specifically the ability to ungroup a table to animate individual pieces, we feel that the performance gains (not to mention all the other aspects talked about in this section of the blog) along with the ability to use multiple tables and/or shapes in these scenarios will benefit users in a much greater way."

Word to PP

Send outline to PowerPoint


That old 2003 version allowed you to send a Word file to PowerPoint and have it create a slide show.

After styling with Heading 1, 2, etc, go toFile > Send To > Microsoft Office PowerPoint.

2007+ is a little different (duh!)

For Microsoft Office 2007+

Word 2007+ doesn't allow you to publish to PowerPoint 2007 by default.

Here's the solution:

After you are done in Word 2007+, save it as a Word document.

Now open PowerPoint 2007+.

Click on the Office Button at the top left hand corner.

Click Open.

Under Files of type, select All Outlines.

Now select the Word document and click Open.

Alternately,

In Word 2007+, right click on the ribbon.

Select Customize Quick Access Toolbar.

Under "Choose commands from:", select Commands not in the ribbon.

Look for "Send to Microsoft Office PowerPoint".

Click OK.

The command will then be added onto the Quick Access Toolbar (QAT).

Last Name First

Sort the Contacts list by the File as field.

To do this, use one of the following methods depending on the version of Outlook that you are using.

In Outlook 2007+, follow these steps:

1. Start Outlook 2007+.

a. On the Tools menu, click Account Settings.

b. Click the Address Books tab, and click Change.

c. Under Microsoft Office Outlook Address Books, click the address book that you want to change the contact display format for.



For example, Contacts: Mailbox - Personal Folders, and then click File As (Smith, John).

In Outlook 2003, follow these steps:

1 Start Outlook 2003.

a. On the Tools menu, click E-mail accounts.

b. Click View or change directories or address books, and then click Next.

c. Click Outlook Address Book, and then click Change.

d. Under Outlook Address Books, click the address book that you want to change the contact display format for. For example, Contacts: Personal Folders, and then click File As (Smith, John).

e Click Close, and then click Finish.

2. Quit and restart Outlook.

3. Verify that the newly created contacts are sorted in the LastName, FirstName format. To do this:

a. On the Tools menu, click Options.

b. Click the Preferences tab, and then click Contact Options.

c. In the Contacts Options box, click Last, First in the Default File As order list.

d. Click OK two times.

4. Edit the properties of any contacts that have the File as option configured individually. This setting overrides the setting that you made in step 1.

a. Double-click any contact that does not appear in the LastName, FirstName format in your Contacts list.

b. Click the General tab, click the down arrow next to File as, and then click Lastname, Firstname, where Lastname, Firstname is the name of the contact.

New Window

Pick your target



Expression Web/FrontPage/HTML provides the opportunity to choose how a page opens when you click on a hyperlink.

Create a hyperlink as you usually would by selecting the text (or graphic) you want to use for the link.

Choose Insert > Hyperlink...
(or use Ctrl-K or the toolbar icon Link icon as a shortcut),
and locate the page in the current web or enter an address in the URL field.

On the right side of the Create Hyperlink window you'll see a button named "Target frame"; click the button.

You'll get the Target Frame dialog box.

In the "Common targets" field, select New Window.

Click OK, then click OK to close the Create Hyperlink dialog box.

Your hyperlink will now open a new browser window when clicked.

Null Parameter

Show something


If a user doesn't specify a parameter value, you can use a wildcard with the parameter in the format
Like [Enter Name] & "*"

The problem with this is that the query will return records that partially match the criteria.

For instance, if users searching for records based on last name enter a parameter value of "Smith" they'll also get the records for Smithers, Smithfield and Smithson.

Another problem is that the parameter query will ignore any records where the field being searched contains a Null value when you try to return the entire recordset with a blank parameter.

To fix this, set up a query to limit responses to explicit parameter entries, but still allow users to return all records by leaving the parameter blank.

If you're searching for LastName, open the query design grid and add LastName to it.

In the Criteria row for the field, enter the parameter prompt
[Enter Name]

Then, in the next blank column of the design grid, enter the same parameter (everything between and including the square brackets) in the Field text box.

Finally, in the Or row, enter the criteria Is Null .

If you're using any additional criteria for other fields, make sure to copy that criteria to the Or line as well.
